Our client is looking for a Temporary Finance administrator / assistant to cover full time, Monday to Friday (37.5 hours a week) and to start immediately / as soon as possible. The role is likely to be split between 2 practices within their PCN but initially the person will be based at a single site during the handover. Following successful handover, the candidate will be required to work across both sites (one site will be London, NW3). Both practices are within walking distance of each other.
We need the person to have had previous experience of using Xero (accounting) and GP IRIS Payroll (which is the payroll system some GP practices use – desirable) and ideally to have had this experience at a GP practice setting. Ideally looking for someone who has had previous payroll experience using other payroll packages (including being able to do manual calculations)
Summary of the role is as follows (please note that the candidate not be required to do all of this initially):
*Daily administration of the accounts process
*Regularly monitoring of cash flow and Practices’ bank balances
*Checking monthly statements from NHSE/ICB; raising queries as required and supervising Bookkeeper in their resolution
*Process payroll and arrange payment of staff salaries each month and PAYE, NIC, SSP, SMP and pension scheme administration including procedures for reimbursement
*Process Partners’ drawings each month.
*Liaising with Practices’ accountants; ensuring data is submitted within deadlines
*Submitting annual declarations of Superannuation for Partners and salaried GPs on the PCSE portal
*Ensuring private income are allocated to doctors (quarterly) and Practice Partners (monthly), as appropriate
*Preparation of annual budgets (staff cost and expenditure) and monitoring of performance against management reports (income, expenses and staff cost)
*Ensuring that accurate and complete claims for payments are submitted to relevant authority at the appropriate times.
*Ensuring that reliable computerised accounting systems are maintained and backed up.
*Liaising with external third parties i.e. Practices’ accountants, HMRC and suppliers in relation to the Practices’ affairs.
*Prepare the year-end accounts and assist accountants with their queries.
*Identify and recommend cost effective procurement of supplies
*Process staff pensions (NHS pension & NEST pension) submission by dateline.
*Undertake ad-hoc project tasks as and when the need arises
*To undertake such other duties as may reasonably be required from time to time.
